Resources Coordinator

Responsibilities

The Resources Coordinator supports the development office in all of its fundraising efforts and requires frequent contact with internal and external stakeholders.  

Responsibilities include, but are not limited to:

  • Input new, maintain existing, and update prospective sponsors and foundations information in the fundraising database.
  • Identify and research companies and foundations for potential sponsorship or other support.
  • Prepare, manage and track contracts and invoices and delivery of benefits to sponsors.  
  • Assist and support annual review of and updates to the Corporate Relations Program and marketing and sales materials.
  • Assist in launch and follow‐up of annual sponsorship sales campaigns and annual giving campaigns.
  • Provide administrative support and maintain filing systems and fundraising management database for all development‐related activities.  
  • Work onsite to support AGB’s annual National Conference and Foundation Forum.
  • Schedule appointments with existing and potential sponsors and funders for AGB’s president, development director, and other staff members.

Duties

  • Draft and prepare correspondence, marketing emails, Memorandums of Understanding (MOU)s, and other written or digital materials in support of annual sponsorship and fundraising activities
  • Coordinate with and serve as prior liaison with other AGB departments and staff to support all development‐related activities.
  • Maintain accurate and complete records of all development‐related activities.
    - Record all development‐related correspondence, visits, and other contacts   
    - Track grant submission and reporting deadlines  
    - Alert supervisor and staff member(s) of deadlines
    - Work with staff member(s) to ensure that reporting and other deadlines are fulfilled
    - Maintain detailed, accurate sponsor status tracking system
    - Ensure sponsor benefits are fulfilled
    - Prepare and assemble sponsor recognition materials for AGB programs throughout the year.
    - Provide sponsors with logistical guidance for AGB events and serve as first point of contact for sponsors on benefit fulfillment and logistics questions  
  • Make travel arrangements and reconcile associated travel expenses.
  • Maintain calendars for development office staff, major actions and milestones, and sponsor benefit fulfillment.
  • Coordinate with Accounting to prepare materials for quarterly executive summaries, annual budget development, and external audit.
  • Monitor and initiate updates to print and digital develop‐related materials and website. Coordinate, prepare and process mailings and emails to corporate and foundation contacts and the AGB Board of Directors.
  • Assist in the preparation of executive summaries, agendas, and other materials for meetings with sponsors, funders, and board members.   
  • Assist in identifying prospective corporate and foundation partners.  
  • Process and track board giving, and maintain updated tracking of all annual fund giving from all sources.
  • Update and maintain Resources policies and procedures manual.
  • Provide phone support to AGB’s receptionist on a rotating basis.
  • Other duties as assigned.

Qualifications

  • Bachelor’s degree required.
  • Two to three years of relevant experience, preferably in a development or sales/marketing environment.
  • Exceptional oral and written communication skills.
  • Excellent interpersonal skills.
  • Detail oriented and strong organizational skills.
  • Ability to work independently and as part of a team.
  • Ability to work well under pressure and to meet deadlines.
  • Ability to prioritize projects.                      
  • Flexibility and creativity.
  • Must be proficient with MS Office. Experience with Impexium or other AMS, and fundraising databases a plus.
  • Available for occasional travel.
